Invoice: Change Form On Demand

Purpose Statement

The Change Form On Demand feature allows users to select a different invoice form for an individual invoice without affecting other invoices. This provides flexibility when different invoice layouts or templates are needed for specific customers or situations.

Background Information

Invoice forms determine the layout and formatting used when generating an invoice. If the incorrect form was selected during invoice creation or a different format is required, users can change the form directly from the invoice before finalizing it.

This feature applies only to the selected invoice and does not modify the default invoice form or other existing invoices.

Required Permissions

Users must have the following permission enabled to change an invoice form on demand:

  • Invoice Change Form On Demand

If the invoice form dropdown is unavailable or cannot be modified, verify that the user's role includes this permission.

Step-by-Step Guide

  1. Navigate to Invoicing.
  2. Select Invoice List.
  3. Open the invoice you want to modify.
    • You can perform this on an existing invoice or while creating a new invoice.
  4. Select Edit.
  5. Locate the Invoice Form field at the top of the invoice.
  6. Open the Invoice Form dropdown menu.
  7. Select the desired invoice form.
  8. Click Save.
  9. Click Close to exit the invoice.

  • Verify you have selected the correct invoice form before saving.
  • Save your changes immediately after selecting a new form.
  • Use the appropriate invoice form based on your organization's billing requirements.
  • If the form selection is unavailable, verify your user permissions before contacting your system administrator.

I don't see the Invoice Form dropdown.

Verify that your user role includes the Invoice Change Form On Demand permission.

I changed the invoice form, but nothing happened.

Ensure you clicked Save before closing the invoice. Changes are not applied until the invoice is saved.

Does changing the invoice form affect other invoices?

No. The selected form only applies to the current invoice.

Can I change the form while creating a new invoice?

Yes. The invoice form can be selected or changed during invoice creation as well as when editing an existing invoice.
