Purpose Statement
The Equipment Overview provides a centralized location to view, search, and manage all equipment records within your department’s asset inventory. This screen allows users to quickly locate specific equipment, review operational status, access inspection checklists, and view work order or log history.
By using the Equipment Overview, personnel can efficiently monitor equipment readiness, identify maintenance needs, and access detailed information about individual equipment records.
Background Information
The Equipment Overview is part of the Assets module and functions similarly to the Apparatus Overview screen. It displays a comprehensive list of all equipment in the system, which may include hundreds of items depending on the size of the department.
Users can view equipment status, assigned storage locations, associated checklists, work orders, and log entries. The overview also provides multiple ways to locate equipment quickly, including:
Keyword search
Equipment group navigation
Barcode scanning (on devices with camera capability)
Each piece of equipment has its own Equipment Overview page, where users can access detailed information and operational history.
Required Permissions
Permissions may vary by agency configuration, but commonly include:
Assets – Equipment (View): Allows users to view the Equipment Overview and equipment records.
Assets – Equipment (Edit): Allows administrators or supervisors to update equipment records and assignments.
Work Orders (Create/Edit): Required to create new work orders for equipment.
Equipment Logs (Create): Required to add log book entries.
Checklist Permissions: Required to start, manage, or cancel equipment checklists.
Many users will have view-only access, while supervisors or administrators may have expanded permissions for editing records or managing assignments.

Step-by-Step Guide
Navigate to the Equipment Overview
Select the First Due logo in the upper-left corner of the platform.
Open the Assets module.
Click Equipment Overview.
This will open a full list of all equipment records within your department.
Search for Specific Equipment
Locate the search bar at the top of the Equipment Overview.
Enter a keyword related to the equipment name (for example: SCBA).
Review the filtered results that appear.
Use the barcode scanning option to locate a specific piece of equipment.
Search results will display equipment that contains the keyword in the equipment title.
Locate Equipment Using Barcode Scanning
Select the Barcode Scanner icon.
Allow access to the device’s camera if prompted.
Scan the barcode attached to the equipment.
The system will search for the matching barcode number and automatically open the corresponding equipment record.
Review Equipment Details in the Overview List
Within the overview table, you may see several key details including:
Equipment Name
Equipment ID, if applicable
Service Status (In Service / Out of Service)
Primary or Reserve designation
Assigned compartment, location storage, kit pouch
Checklist status, including inspections due today
Active work orders
This information helps users quickly determine equipment readiness and required actions.
Browse Equipment by Equipment Groups
Locate the equipment group list in the left-side navigation panel.
Expand a group to view the equipment within that category.
Select a specific piece of equipment.
This will open the Equipment Overview page for that item.
Equipment that has not been assigned to a group will appear under Ungrouped equipment but can still be located using search.
View a Specific Equipment Overview
Selecting an equipment record opens the detailed overview page. From here you can view:
Reference image of a specific equipment item
Equipment description, if entered
Equipment specifications
Name, Make, Model
Manufacture Year
Serial Number
Last completed checklist, if any
Create and view historical work order data
Add Equipment log book entries
Assigned location, apparatus compartment, or kit pouch
View or update the Equipment record
Toggle Equipment In Service or Out of Service
View total time spent out of service
Toggle Equipment as Primary or Reserve (if the setting toggle is enabled)
View Equipment Checklist Information
Open the Equipment Overview page for a specific piece of equipment.
Locate the Checklist section within the equipment record.
Review any checklists due today, overdue inspections, or recently completed checks.
Select Start next to a checklist to begin the inspection.
Use View Checklist History to review previously completed inspections.
Select View Incomplete Checklists to see inspections that were started but not finished.
Supervisors may also have the ability to cancel or remove overdue checklists depending on system permissions.
View and Manage Equipment Work Orders
Open the Equipment Overview page for the equipment item.
Navigate to the Work Orders section.
Review any open or active work orders listed for the equipment.
Select New Work Order to create a maintenance request.
Click History to view past work orders, including those that are closed or archived.
This section helps track ongoing maintenance issues and historical repairs.
Add or Review Log Book Entries
Open the Equipment Overview page.
Scroll to the Log Book section.
Review previous entries that document interactions with the equipment.
If permissions allow, select Add Log.
Enter the relevant information about the interaction or update.
Save the log entry to record the activity.
The log book maintains a running history of all interactions with the equipment, providing accountability and operational documentation.

Troubleshooting & FAQs
Why can’t I edit the equipment record?
Editing equipment records requires elevated permissions. Contact your system administrator if you need access.
Why does some equipment appear under “Ungrouped”?
This indicates the equipment has not yet been assigned to an equipment group. It can still be located through search and remains fully functional.
Why can’t I add a log entry or create a work order?
Your user role may not include permissions for creating log entries or work orders.
Why isn’t barcode scanning working?
Ensure:
Your device has a camera
Camera permissions are enabled
The barcode is properly associated with the equipment record
Why is my equipment checklist showing overdue?
A checklist becomes overdue if the scheduled inspection has not been completed within the required timeframe.
