Purpose Statement
Pre-plan statuses within the Pre-Plans module provide a systematic way to track and manage the lifecycle of pre-plan documents from initial creation through final publication. This status system ensures quality control, supports review processes, maintains accountability, and provides visual indicators on maps to help users quickly identify the completion status of occupancy pre-plans across their jurisdiction.
Background Information
The pre-plan status system is essential for fire departments and EMS agencies that require structured review and approval processes for their pre-plan documentation. This feature supports various departmental workflows, from simple individual publishing to complex multi-level review processes. The status system integrates with mapping displays to provide immediate visual feedback about pre-plan completeness and helps maintain data quality standards across the organization.

Step-by-Step Guide
Info:
The Pre-Plan Status can be found in several locations within the Pre-Plan Module:
- Pre-Plan Organizer
- My Assigned Pre-Plans
- Pre-Plan List
- Draft: This "saves" the pre-plan to the users account without publishing it. The only users able to see the DRAFT updates to the pre-plan are the user or unit themselves or an administrator.
- Pending Approval: This is a status only visible to users with "Publish Permissions". When a user without publish permissions completes a pre-plan, they choose
. This pre-plan now shows in the Pre-Plan Organizer of those users with Publish Permissions as Ready for Review. As part of the reviewing process, the reviewer has the ability to Publish the submission, Reject the submission and View or Edit the submission.
- Rejected: This status is displayed when a user with Publish Permissions has reviewed a pre-plan and found issues with it.
- Published: The pre-plan and the information submitted is a part of the pre-plan visible to all with access.
-
Archived: The status of a prior version of the pre-plan before it was put into another status (It essentially shows how often it was edited and then published).

Best Practices
Do's
- Regularly check status displays to monitor pre-plan completion progress
- Follow your department's established review and approval processes consistently
- Use draft status to save work in progress without affecting operational data
- Address rejected pre-plans promptly to maintain data currency
- Monitor map indicators to identify occupancies needing pre-plan development
- Maintain clear communication with reviewers during the approval process
Don'ts
- Don't ignore rejected status pre-plans - they require attention and correction
- Don't bypass required review processes even if you have direct publishing permissions
- Don't assume draft pre-plans are available to other users for operational purposes
- Don't forget to check archive status when reviewing pre-plan modification history
- Don't overlook occupancies with no status indicators - they may need initial pre-plan creation
Tips & Recommendations
- Use the various status views (organizer, assigned, list) to get different perspectives on your pre-plan portfolio
- Pay attention to map visual indicators during routine operations to identify data gaps
- Develop a regular review schedule for draft and pending approval pre-plans
- Consider the operational impact when rejecting pre-plans - provide clear feedback for improvement
- Use archive status to understand pre-plan evolution and identify frequently updated occupancies
Troubleshooting & FAQs
Q: My pre-plan is stuck in draft status. How do I move it forward?
A: Check if your department requires review approval. If so, use the "Submit" option. If not, you should have direct publishing options available.
Q: Why can't other users see my draft pre-plan?
A: Draft status pre-plans are only visible to the creator, their unit, or administrators. Publish or submit for review to make them accessible to others.
Q: A reviewer rejected my pre-plan but I don't understand why. What should I do?
A: Contact the reviewer directly for feedback. If the pre-plan was rejected with information retained (draft status), you can review and correct it. If completely rejected, you'll need to start over.
Q: How can I tell if an occupancy has ever had a pre-plan?
A: Check the map indicators. A green house with no markings indicates no pre-plan information has ever been entered for that occupancy.
Q: What's the difference between orange and red exclamation points on the map?
A: Orange indicates draft status (unpublished), while red indicates published status with completed pre-plan information.
Q: Can I see the history of status changes for a pre-plan?
A: Archive status shows previous versions, indicating the modification history. Check with your administrator about detailed change logs.
