Validating Assignments

Purpose

  1. To explain how to validate Assignments on the Shift Board.
IMPORTANT: Personnel and Scheduling modules have split. This article and video tell you to access the Personnel Module. You should instead access the Scheduling Module.

Background

  1. Validating assignments after completing shifts ensures accurate payroll information and prevents any changes being made. This process directly impacts the Payroll Report (Reports > Scheduling > Payroll). This report has a new filter and column in the report to identify validated personnel work assignments (see below).


Directions

  1. Navigate to Personnel > Shift Board.






  2. After the date passes, a box will appear within each assignment.
    1. This can also appear if your agency has turned on the proper validations settings.   







  3. Once one or more boxes are selected, the Lock icon at the top of the Shift Board will become enabled.









  4. Select   .  The assignment is now validated. A green indicator will appear confirming validation.






  5. All assignments displayed on the Shift Board can be bulk validated by selecting the box located on header of the Shift Board (upper left corner). Select    to bulk validate.






  6. Once assignments have been validated they will a green indicator will appear confirming validation.



    Once assignments have been validated, you can no longer edit any of the personnel unless you un-validate the assignments.



  7. To un-validate an assignment select the box located next to the assignment and select .





    The un-validate process can also be done in bulk following the process outlined in Step 5.


  8. Personnel authorized to validate or un-validate Shift Board assignments will need the following permission.






  9. In the Payroll Report (Reports > Scheduling > Payroll), there is a filter to refine the report by validated or non-validated personnel. A new column, "Validated", is now part of this report.
