The Bulk Change feature on the Shift Board allows administrators and supervisors to efficiently move multiple personnel between assignments simultaneously. This feature streamlines the process of reassigning staff, whether for a single day or recurring schedule changes, significantly reducing the time required for large-scale scheduling adjustments.

Bulk Change is a powerful scheduling tool designed to handle multiple personnel reassignments in a single operation. This feature is particularly valuable when departments need to make widespread scheduling adjustments due to operational changes, training requirements, equipment needs, or staffing redistributions.

  3. Add/Edit Personnel into Shift Board

Step-by-Step Guide

Step 1: Access the Shift Board

  1. Navigate to the main menu
  2. Click on Scheduling
  3. Select Shift Board from the dropdown menu



Step 2: Initiate Bulk Change

  1. Click on More Options in the Shift Board interface
  2. Select Bulk Change from the dropdown menu



Step 3: Select Personnel for Reassignment

  1. Click on each user that you want to move to different assignments
  2. Selected users will turn blue to indicate they are chosen for bulk change
  3. Continue selecting all personnel who need reassignment



Step 4: Configure Change Parameters

Configure the following settings:

Change Scope Options:

  • Only the Select Date: Makes changes only for the currently selected date (today)
  • Recurring: Applies changes from the selected date forward for all future occurrences

Work Type Adjustment:

  • Modify the work type if needed for the selected personnel
Click Select when Done



Step 5: Execute Personnel Movement

  1. Drag the selected users (shown in blue) to their new assignments on the Shift Board
  2. Position each user in their intended new assignment location
  3. Click Proceed to confirm the changes



Step 6: Confirm Completion

  1. The system will process all movements automatically
  2. Verify that users appear in their new assignments as intended
  3. Review the updated Shift Board to ensure all changes were applied correctly




Best Practices

Do:

  • Carefully review all selected personnel before proceeding with bulk changes
  • Consider the scope of changes (single date vs. recurring) before making modifications
  • Verify that target assignments have adequate capacity for additional personnel
  • Double-check work type assignments to ensure they match operational requirements
  • Save or document significant scheduling changes for future reference

Don't:

  • Rush through the selection process without verifying the correct personnel are chosen
  • Make recurring changes without considering long-term scheduling impacts
  • Move personnel to assignments they're not qualified or certified for
  • Forget to communicate major schedule changes to affected personnel

  • Use the single date option first to test changes before implementing recurring modifications
  • Coordinate with supervisors of affected assignments before making bulk changes

Troubleshooting & FAQs

  1. Q: What happens if I accidentally select the wrong personnel? 
    1. A: You can deselect personnel by clicking on them again before proceeding. Selected users will no longer appear in blue when deselected.
  2. Q: Can I undo bulk changes after clicking Proceed? 
    1. A: The system processes changes immediately. To reverse bulk changes, you'll need to perform another bulk change operation to move personnel back to their original assignments.
  3. Q: What's the difference between "Only the Select Date" and "Recurring"? 
    1. A: "Only the Select Date" affects only the current date shown on the Shift Board, while "Recurring" applies the changes to the selected date and all future occurrences of the same shift pattern.
  4. Q: Can I move personnel to assignments they're not qualified for? 
    1. A: The system may allow the move, but it's your responsibility to ensure personnel meet qualifications and certifications for their new assignments.
  5. Q: Why can't I see the Bulk Change option? 
    1. A: Verify that you have the appropriate permissions for the Scheduling module. Contact your system administrator if the option remains unavailable.

Troubleshooting:

  • If personnel don't move as expected, verify that target assignments aren't at capacity limits
  • If the drag-and-drop function isn't working, try refreshing the browser and repeating the process
  • For recurring changes that don't appear to apply, check the date range and shift pattern settings
  • Contact technical support if the system fails to process movements after clicking Proceed
