Setting up a Vacation Bid

Purpose

  1. This article takes a deep dive into how to set-up a Vacation Bid, to ensure that:
    1. You keep adequate staffing for each day.
    2. You determine the Bidding periods.
    3. You have the proper seniority list when it is initiate. 
    4. And so much more!
Vacation Bidding allows departments to have individuals plan their days off for the year to ensure adequate staffing is met, as well as the ability to forecast overtime if needed.

Directions

1. Click on Personnel> Time Off.






2. Click on Vacation Bidding.


Click on Vacation Bidding.



3. Click on New Bid.


Click on New Bid.



4. Determine:
  • The name of the Bid. 
  • The Time Off that the bid will use. 
  • The employees that the bid will affect. you can choose between:
    • Rank, Rotation, Shift, District, Group, Qualifier. 
  • Determine if there are any excluded assignments.
  • Determine how the list will be ordered. You can order by:
    • Date of Hire, Secondary Start Date, User Defined, or Employee ID.
  • Determine the Start and End Date of the Bid.
  • Type in a Description. 






5. Click on Add Round, and determine how many days they can choose per round. When done, click Save.

6. Next, set how many Shifts to Bid users can get. 
  1. This can be set by a default number, or by a year range.

7. Click on Add Years.

8. Determine the:
  • Year range.
  • Amount of Days.
  • Click Save. 






9. Under Time off Per Day you can limit the individuals off by:
  • Minimum employees that you want at work.
  • Maximum amount of employees allowed off per day.
  • Limit the amount off by qualifiers. 






10. Under Bidding Times, you can set when the Bid Notifications will be sent. 
  • Bid Start Date and Time- When the Bid will be initiated. 
  • Bid End Date and Time- When the Bidding will end.
  • Allotted Time- The amount of time a user has to bid on days off. 
  • Calling Period From and To- When the bid calls will be sent out for users to place their bids. 
  • Calling Period- You can choose to have the bids occur every day or on select days. 


Under Bidding Times, you can set when the Bid Notifications will be sent.



11. Click on Add Black out Dates.

12. Black out dates are days that users are not able to bid for. Type in the date and click Save.

13. Lastly, you can determine:
  • What happens when a user does not answer in their allotted time.
  • If Admins can make selections for users.
