Release Notes - Scheduling Module

In order to provide you with more detailed information on our updates, we have broken the Release Notes down by module. 

Feature Enhancements

Pre-Determined Time Frames 

  1. What: You can now set pre-determined time frames that users can request when requesting Time Off. 
  2. Why: We added this per a department's request to limit the time periods their users could request when submitting Time Off. 
  3. How: Navigate to Setup, then to Pre-Determined Time Frames. Here, you can allow for requests outside the given periods, as well as create new periods that individuals can request. When an end user goes to submit a request, they can switch over to Hours and see the Time Frames that they can select. 
  4. Use Case: If you only want to limit the time frames users can submit, like 12-hour periods only, this setting is for you. 


             

      


Time Card- Add Column for Approving User

  1. What: We've added a column on the Time Card Review page that shows the approving user. 
  2. Why: This was added per the request of a department. 
  3. How: Navigate to Time Card > Review. You will now see the Approving User column on the table. 
  4. Use Case: This will allow you to see who is supposed to manage each Time Card submission quickly and efficiently.




My Time Off Page

  1. What: We have added a My Time Off page that allows you to see a detailed status of any personal Time Off requests in the system. 
  2. Why: This was added to improve the usability of First Due, as well as to make way for future planned releases. 
  3. How: Navigate to Scheduling > Time Off> My Time Off to see the page. Here you can view the Approval status of pending time off, as well as click the eyeball to see further details. 
  4. Use Case: I submitted all of my Time Off at the beginning of the year per policy, but I cannot recall what days I have been approved for. This list will now show you that, as well as the status of any Pending time off. 







Time Off Deduction Rules can be Subtype-specific

  1. What: We have given the ability for the Time Off Deduction Rules to be Subtype Specific
  2. Why: This was per the request of a department. 
  3. How: Navigate to Setup > Time Off Settings > Deduction Rules. When adding or editing an existing rule, you can now choose a subtype if applicable. 






App Notifications for Time Off

  1. What: You can now receive App Notifications for each stage of the Time Off Approval Process. 
  2. Why: This was done to ensure users can stay abreast of the status of their Time Off. 
  3. How: If the Notify on Time Off toggle is enabled in Settings > Notification Options, Admin will receive a push notification allowing them to know they have a request that needs managing. End Users will receive a push notification on Approvals, as well as Denials, when the request is managed. 
  4. Use Case: This allows administrators to stay in the loop about requests, as well as end users to stay abreast of the status of their time-off requests. 

Lock Availability Changes on My Shifts

  1. What: We have added the ability to restrict changes to the Availability of end users. 
  2. Why: This was added per the request of a department. 
  3. How: This currently only works for Assignment-based Availability. Navigate to Setup > Availability Settings and enable Lock Availability. When you do so, you can set a timeframe during which end users are unable to make changes. 24 hours would block a change from occurring within 24 hours of that particular day's availability. 


            



My Shifts Updated UI on Mobile App

  1. What: The My Shifts calendar received a User Interface update on the Mobile App. 
  2. Why: This was done to improve the user experience when viewing My Shifts on the Mobile App. 
  3. How: No changes need to occur for this to work for your department. To see the changes, navigate to the Mobile App, then to My Shifts. 





Call Shifts: Always Start all Tiers 

  1. What: We have added a new option when utilizing the Candidate Method Manual Awarding option of Always Start All Tiers. 
  2. Why: This was done per the request of a department. 
  3. How: When utilizing the Candidate Method, and the setting Only Allow Manual Awarding is enabled, you will see an option to Always Start All Tiers. This will start Tier 1 at the deadline of Tier 0, even with no responses received, then Tier 2 and subsequent tiers will do the same.
  4. Use Case: This feature is beneficial if you need predictable and consistent progression across all tiers, even with no early responses received. 





Call Shift: Accumulate Hours Option for Rotating Ranking 

  1. What: A new setting is located in Call Shifts for the Rotating List. This allows users to accumulate a certain number of hours before rotating. 
  2. Why: This was done per the request of a department. 
  3. How: Navigate to Setup > Call Shift Rules > and edit or create a rule. When you are viewing the List Sorting option of Rotating, you can change the setting "Change Ranking If" to Accumulate and set the number of hours the user must accumulate prior to rotating. 
    1. Within the Rankings List, a new column of Cumulative Hours will appear, showing the progress to reaching the threshold. 

  4. Use Case: This will ensure fair rotation of the Call Shift Rankings list within your department by allowing users who receive hours to rotate only at a certain threshold


 



Mandatory: On-Duty Toggle for Mandatory Shifts

  1. What: We have added an On Duty toggle to the Mandatory Fill. 
  2. Why: This was added per the request of a department. 
  3. How: When initiating a Mandatory Fill, you will see the On Duty toggle at the bottom. This will include any users who are finishing their shift exactly when the new mandatory shift begins. 
  4. Use Case: This ensures that you capture those who are ending the shift exactly when the mandatory shift begins, and not overlooking them due to Rotation Overlap. 




Shift Board: Add Position to Move Employee functionality

  1. What: We added the ability to place an employee in the selected position when using the Move Employee functionality. 
  2. Why: This was done to improve the functionality of Move Employee. 
  3. How: When using Move Employee, you can choose what position you want them to be placed in. 
  4. Use Case: Moving an Employee can be difficult on the Mobile App, but with the Move Employee functionality, you can now choose which assignment and which position you want to put them on. 





Shift Board: Increase Character Count on Assignment Notes. 

  1. What: We increased the character count of the Assignment Notes. 
  2. Why: This was done per the request of a department. 
  3. How: When adding a note to an assignment, you now can add up to 200 characters, including spaces and punctuation. 


New Rotations

  1. 1 on / 11 off / 1 on / 11 off / 1 on / 9 off / 1 on / 11 off / 1 on / 9 off

  2. 5 on / 2 off / 5 on / 2 off / 5 on / 9 off

  3. 2 on / 3 off / 2 on / 2 off



Fixes

Time Off Error when Deleting Time Off Types

  1. What: This update resolves a previous issue where deleting a time off type that was still associated with a deduction rule triggered a system error. The fix ensures that the deletion is handled correctly and the user receives clear confirmation.

Fix for User Detection with Missing Middle Name

  1. What: This fix addresses a system-wide issue where users without a middle name could not be properly selected due to formatting inconsistencies in the full name. The update ensures consistent name handling by gracefully ignoring empty middle name values and removing extra spaces, allowing reliable user detection across multiple areas.


Default Sign Up Icon Behavior in Snap Assignments
  1. What: This fix ensures consistency in the default behavior of the Sign Up Eligible setting when creating Snap Assignments. Previously, users were not able to see the sign-up icon on Snap Assignments due to the toggle being OFF by default. The issue has now been resolved to align with the expected behavior.

Time Off Creation Error in Vacation Bidding

  1. What: An error was identified in creating Time Off entries from Vacation Bids. This error occurred with the 'Remove User with Pending Time Off' option was enabled. This issue has been addressed.
