Purpose Statement

This feature allows authorized users to re-open previously completed inspections when modifications or corrections are needed. Re-opening an inspection creates a new version while preserving the original completed inspection in an archived state, enabling users to make necessary updates while maintaining data integrity and audit trails.

The re-open inspection functionality is essential for maintaining accurate inspection records when post-completion changes are required. This feature is commonly used when additional violations are discovered, corrections need to be made to inspection details, or when follow-up actions require modification of the original inspection data. The system maintains version control by archiving the original inspection and creating a new active version with RE-OPEN status indicators.


Required Permissions

Users must have the Re-Open Inspection permission enabled in their user role to access this functionality. Contact your system administrator to verify or request this permission if the Re-Open option is not visible in your inspection actions.

Step-by-Step Guide

2. Click on Inspections.

3. Click on Inspections List.
  1. Completed Inspections on the My Inspections page can also be reopened.

4. Click on Re-Open.  Requirements to re-open an inspection or re-inspection:
  1. The inspection must be Completed.
  2. No Completed, Ready for Review, or In Progress re-inspections are associated with the selected inspection. If this happens, the user must delete all re-inspections after the selected one.
  3. If there are any future re-inspections that are canceled or scheduled, the system will delete them (the user must confirm this).

Click on Re-Open.

6. Enter a reason for re-opening the selected Inspection and then select "Re-Open."






7. If using the Inspection Timer, select confirm to mark the user on-site, Cancel to mark the user not on-site.

8. Re-opened Inspection.
  1. The completed inspection will be archived, and a new one will be created to keep track of the changes and revert if needed (this must be done by support).
  2. Only the most recent Inspection will be shown in the lists and reports.
  3. Once the inspection is reopened, it will return to the In Progress status, and an indicator RE-OPEN is shown at the top of the page.

9. The user will be limited to changing the following items:
  1. Checklist items
  2. Attachments
  3. Inspection Type
  4. Schedule Type
  5. Scheduled At Date
  6. Scheduled at Time
  7. Completed at Date (will be original Completed at Date)
  8. Completed at Time (Will be original Completed at Time)
  9. Shift
  10. Assigned to
  11. Fire Station
  12. Notes
  13. Signature
  14. NOTE: INSPECTION CONTACT, OCCUPANCY AND PRE-PLAN INFORMATION IS RESTRICTED FROM BEING UPDATED IN A RE-OPENED INSPECTION.





10. Click on Complete when done with changes.

12. If the Inspection is saved after re-opened, returning to the Inspections List will allow the user to utilize actions.
  1. Select Save, then Close.

  • Always provide detailed justification when re-opening inspections for audit trail purposes
  • Verify all required changes before completing the re-opened inspection to avoid multiple re-open cycles
  • Coordinate with team members if the inspection has associated re-inspections that will be deleted
  • Document significant changes in the Notes section for future reference
  • Complete re-opened inspections promptly to maintain accurate inspection status reporting

Q: Why can't I see the Re-Open button? A: Verify you have the Re-Open Inspection permission. Only users with this specific permission can access the re-open functionality.

Q: I'm getting a warning about conflicting re-inspections. What should I do? A: You must delete any Completed, Ready for Review, or In Progress re-inspections associated with the original inspection before re-opening.

Q: Can I modify the inspection contact information in a re-opened inspection? A: No, Inspection Contact, Occupancy, and Pre-Plan information is restricted and cannot be updated in re-opened inspections.

Q: What happens to the original completed inspection? A: The original inspection is archived but preserved. Support can revert changes if necessary, and the original data remains accessible for audit purposes.

Q: Will re-opening an inspection affect my inspection completion statistics? A: The re-opened inspection will show as In Progress until completed again. Only the most recent version appears in standard reports and lists.
