Step-by-Step Guide

Accessing the Time Off Request System

  • Navigate to Scheduling > Time Off from the main menu
  • The system will display your current schedule with available request dates



Setting Your Request Date Range

  • Review the dates displayed as selectable boxes (defaults to next 30 days)
  • Modify the date range if needed by selecting Time Off Start Date field
  • Adjust the Time Off End Date field to expand or narrow your viewing window
  • Available working dates within your selected range will appear as clickable options



Creating Your Time Off Request

  • Select the specific date(s) you are requesting time off by clicking on the date boxes
  • In the recipient field, type the name of the supervisor or administrator who should receive your request
  • Select the correct recipient from the dropdown list that appears
  • Choose the appropriate Time Off Type from the dropdown menu (vacation, sick, personal, etc.)



Adding Required Details

  • Select a Time Off Subtype if needed
  • Select a Project Code from the dropdown if your department requires this information
  • Determine your time off preference:
    • Full Hours: Request the entire shift/day off
    • Partial Hours: Request only a portion of the shift off
  • If your department uses Pre-determined Time Frames, select from the Time Frames dropdown




Submitting Your Request

  • Review all information for accuracy
  • Click Submit Request to send your time off request for approval
  • You will receive confirmation that your request has been submitted



Best Practices

  • Submit time off requests as early as possible to allow adequate time for scheduling adjustments
  • Verify you are selecting the correct dates before submitting your request
  • Choose the most appropriate time off type to ensure proper tracking and compliance
  • Include project codes when required to maintain accurate cost accounting
  • Check department policies regarding minimum advance notice requirements
  • Consider staffing levels and operational needs when requesting popular dates (holidays, weekends)
  • Follow up with your supervisor if you don't receive approval notification within the expected timeframe

Troubleshooting & FAQs

  • Q: I don't see the dates I need in the selectable boxes?

    • A: Adjust the Time Off Start Date and Time Off End Date fields to expand your viewing range. 

  • Q: The person I need to send the request to doesn't appear in the dropdown? 

    • A: Ensure you are typing the name correctly and that the supervisor has proper permissions in the system. Contact your administrator if the intended recipient is missing from the list.

  • Q: What's the difference between Full Hours and Partial Hours? 

    • A: Full Hours requests time off for your entire scheduled shift, while Partial Hours allows you to request only specific portions of your shift (e.g., first half, last few hours).

  • Q: My department mentions Pre-determined Time Frames, but I don't see that option? 

    • A: This feature may not be enabled for your department or user role. Contact your administrator to verify your department's time off configuration.

  • Q: I submitted a request, but I want to make changes. 

    • A: Contact your supervisor or administrator immediately. Depending on department policy, you may need to submit a new request or have the original request modified.

  • Q: How will I know if my request is approved or denied? 

    • A: You can see the status of your Time Off within the My Time Off tab.
