Shift Board Settings

Purpose

  1. To explain the Shift Board settings in the Scheduling Module.

Directions 

1. Click on Scheduling > Setup.





2. The first thing you will see is the ability to adjust the Display Settings. 
  • The three Fixed Views cannot be adjusted: Monthly, 7 Days, and 1 Day. 
  • You can choose the Custom View to show between a 2,3,4,5, or 6 day view.

3. Next is the Shift Board Options. You can choose between:
  • Rotation by Default.
    • This is a good option when you are setting up the Shift Board assignments. It ensures that you are always defaulting to Rotation. 
  • Single Day by Default. 
    • This is good for when you have set the individuals to their assignments. 





4. Users can sign up for vacancies on the shiftboard that they have the qualifiers for. You can also require those sign-ups to have admin approval to allow them to fill the vacancy.

5. Finally you can:
  • Validate past, present, and future dates.
  • Indicate non-minimum positions in gray.
    • Any non-minimum positions will appear in gray.
  • Update of Personnel Record.
    • This allows for automatic update of associated fields within the personnel record.
  • Auto-Validate Shiftboard.
    • You can set after how many days the shift board will auto validate.
  • Prevent Deletion of Validated Data
    • This will prevent any data that has been validated from being deleted.
    • This will prevent Shift Trades or Time Offs that have been approved and validated on the Shift Board from being deleted.
  • Ignore qualifiers on Shiftboard.
    • You have the ability to toggle on or off a warning that appears when you place a user in a position that they do not hold a qualifier for.
  • Lock Time Frame
    • This will keep a user's normal scheduled time by default.
      • i.e, Jan is scheduled from 9-5, but I moved her to a 24-hour spot. She will remain 9-5 in the move by default, but can be extended to the full 24 manually.
    • Remove User with Pending Time Off
      • This will move a user with pending time off to the Time Off Section, leaving their position vacant.
