Fire Incident Setup - General

Purpose

  1. To guide you through Fire Incident General setup.

Directions

  1. Navigate to Incident Documentation > Fire Incident Setup.





  2. On the landing page select the General section.






  3. Set your Incident Numbering Format.
    1. (A) - Selecting this box enables Incident Numbering Format.
    2. (B) - Selecting this box will use your departments short code in the format.
    3. (C) - The first separator placement is a " - " by default.  It can be deleted or changed if needed.
    4. (D) - Chose your year format.  It can be left blank, have 4 digits (YYYY), or 2 digits (YY)
    5. (E) - The second separator placement is a " - " by default.  It can be deleted or changed if needed.
    6. (F) - Number length can be set to a certain number of digits.  (e.g. 100,000  would be set as 6)
    7. (G) - Will display the format you have chosen.  This feature updates in real time.
    8. (H) - Selecting this box will apply this format to incident numbers that come from CAD







  4. Enter your First Due NFIRS Go-Live Date (this is the date in which you intend to include incidents for exporting).

    1. Example - If you set Jan 1st as your Go-Live date, only incidents after that date will be included in your NFIRS export.






  5. Next, set the amount of time to keep deleted fire incidents on the deleted table before the system permanently removes them.

    1. Example - If you delete an incident on Mar 1st and you have the time frame set to 30 days, the incident will permanently delete from the system on March 31st.




  6. Select the amount of time a user can be idle within an incident report.
    If 5 minutes is the selected auto timeout time, then, if a user is idle for 5 minutes within an NFIRS report, the report will auto-save and close. This allows another user to access the report if needed.



  7. Select how you want to display your Incident Types.






  8. Chose a preference for incident numbering when users create incidents from scratch.

      1. Automatic - Will begin on day one in the following format (Short code/YYYY/Incident number)
      2. Blank - Will allow for you to enter an incident number each time and will not auto populate the next available number.

    1. Examples:

      1. Automatic - (FD-2022-001)
      2. Blank - (1234-001)







  9. Determine whether users signed in as a unit can access and complete incidents.

    1. Example - Captain Smith is logged into the system as Engine 1.  When the Incident gets completed the Member Completing Report section will list Engine 1 instead of Captain Smith.






  10. Decide whether NFIRS numeric codes are visible to users in incident reporting fields.

    1. Example - Actions taken: "86-Investigate" vs. "Investigate"

       



  11. If desired, enable CAD Refresh button in Fire Form.  This function allows the report writer to update/refresh their data with the most current CAD data available.

  12. Decide if the NFIRS Wildland Form will be mandatory, optional or never used for outdoor fires.

    1. Explanation - For wildland-specific NFIRS incident types you have 3 options when it comes to using the NFIRS Wildland Form.

      1. Selecting Always will always enable the NFIRS Wildland Form within the incident report. 
      2. Selecting Never will disable the NFIRS Wildland Form within the incident report. 
      3. Selecting Per Incident enables the report writer to choose whether or not to use the NFIRS Wildland Form within the incident report.
        NOTE: The report writer can select the slider within the incident report  to enable the NFIRS Wildland Form:







  13. Select your Incident List Default Date Range.






  14. Enable NFIRS Incident exporting.

    1. Example - If checked it will enable NFIRS exporting.  The export will be sent to the email address listed.






  15.  When the NFIRS export is enabled you will have the following choices:

    1. (ANFIRS report method
      1. Immediate upon Authorization - Exports an incident immediately upon its authorization
      2. Deferred, upon Authorization - Exports authorized incidents on a interval selected in "NFIRS export frequency"

    2. (BNFIRS export frequency
      1. Weekly - Exports once weekly on the day selected.
      2. Monthly - Exports once a month on the day selected.
      3. Quarterly -  Exports once a quarter on the day you have selected (see example below)

    3. (CNFIRS export day
      1. Weekly  - Select the day of the week to export.
      2. Monthly - Select the day in the month to export. If you select the 30th or 31st of the month, then for months without that date (e.g., Feb), the export will occur on the last relevant day of the month (e.g., Feb 28).
      3. Quarterly - Select the day in the month after the end of the quarter to export.  (e.g., Q1 ends March 31; if you select "2", the export will occur April 2)
        1. Q1 ends March 31; Export will occur in April on day selected
        2. Q2 ends June 30; Export will occur in July on day selected
        3. Q3 ends September 30; Export will occur in October on day selected
        4. Q4 ends December 31; Export will occur in January on day selected



          NOTE: Exports occur on midnight on the day selected.



  16. Enable NFIRS
     
    Department exporting.  You can chose to export them (A) Immediately or Monthly, if Monthly is selected you can choose the day of the month (B).

    NOTE: Setting the export to Immediate will export the file by 1900 on the day any change is made to personnel or apparatus data.






  17.  Add the Email Address's to send exports by selecting the Add button.   Enter the Email Address into the field and select the Save button.




    18. Enable Automatic Authorization of NFIRS reports by incident type. By default, every NFIRS incident type requires authorization by an approved user. Use this field to de-select incident types, which will trigger automatic authorization upon completion of the NFIRS report.
