Hydrant Setup: Notifications

Purpose Statement

This feature allows administrators or program managers to configure who receives email notifications related to hydrant work orders and service status changes. It ensures timely communication and accountability for hydrant maintenance and operational status.

Hydrant notifications are essential for keeping relevant personnel informed about changes in hydrant service status and work order activity. This feature supports operational efficiency by reducing manual communication and ensuring that updates are automatically sent to the appropriate users.

Users can configure a default or custom email address for sending notifications and selectively enable specific notification types based on operational needs.


Required Permissions

To access and configure hydrant notification settings, users must have the following permissions:
  1. Hydrant Setup: Access the Hydrants Setup section

These permissions are typically managed under the Roles & Permissions section of the platform.

Step-by-Step Guide

1. Navigate to Notification Settings

    • Go to Hydrants from the main menu.
    • Select Hydrant Setup.
    • Click on Notifications.



2. Set the Notification Email Address

    • At the top of the page, choose the email address to be used for sending notifications:
      • If using a custom email, follow the email verification process to ensure the address is active and valid.



3. Configure Notification Types

Below the email section, toggle the following notification types on or off as needed. Add the desired recipients to the "Send to Users" Section:

    • Notify Service Changes
      Sends an email when a hydrant is placed in or out of service.

    • Notify on Work Order Creation
      Alerts users when a new work order is created.

    • Notify on Work Order Status Change
      Notifies users when the status of an existing work order is updated.

    • Notify on Work Order Resolution
      Sends a notification when a work order is completed or resolved.

    • Notify on Idle Work Orders
      Triggers an alert when a work order remains in the same status for a custom number of days.




4. Assign Recipients

    • For each notification type, use the Send To Users field to select who should receive the emails.
    • Users must have valid email addresses associated with their profiles.

For the Notification "Notify On Idle Work Orders" remember to select the number of days the work order has been idle before a notification is sent.

Changes to any of the areas within Hydrant Setup: Notifications are automatically saved by the First Due System in real time.

    • Use a monitored email address for notifications to ensure timely responses.
    • Verify custom email addresses promptly to avoid missed alerts.
    • Enable idle work order notifications to prevent maintenance delays.
    • Avoid assigning notifications to inactive users.
    • Do not use shared inboxes without proper monitoring protocols.

Q. Why am I not receiving notifications

    • Ensure the email address is verified.
    • Check spam/junk folders.
    • Confirm that the correct notification types are enabled.
    • Verify that your user account is listed in the Send To Users field.

Q. Can I send notifications to multiple users?

A.  Yes. You can add multiple users in the Send To Users field for each notification type.

What happens if I leave the email field blank?

A.  The system will default to using Hydrants@firstdue.com for outgoing notifications.
