Med Kits: Overview

Purpose Statement

The Med Kits feature allows departments to efficiently track, manage, and monitor medication kits across the organization. This overview explains how to navigate Med Kits, view kit contents, apply filters, and understand kit status, ensuring medication accountability, compliance, and readiness.


Background Information

Med Kits are part of the Medications module and are used to organize medications into sealed or unsealed kits for vehicles, apparatus, stations, or personnel. Each kit provides visibility into medication quantities, expiration dates, custody, and service status.

Common use cases include:

  • Daily or shift-based medication checks

  • Tracking controlled substances

  • Identifying expired or missing medications

  • Managing custody exchanges between personnel

Prerequisites:

  • Medications module enabled

  • Med Kits configured for the department

  • Appropriate user permissions


Required Permissions

Users must have one or more of the following permissions to fully interact with Med Kits:

  • Med Kits - Allow

  • Count Medications - Allow

  • Meds - Custody Exchange - Allow

  • Meds - Usage - Allow

  • Transfer Medications - Allow

  • Remove Medications - Allow

  • Receive Medications - Allow

Permission availability may vary by role and department configuration.

Step-by-Step Guide

1. Access the Med Kits Module

  1. Navigate to the Medications module.

  2. Select Med Kits.

Navigate to the Medications module and select Med Kits.

 

2. Review the Med Kit Panel

  • The Med Kit Panel on the left displays all Med Kits for the department.

  • The kit highlighted in blue indicates the kit currently being viewed.

  • Use the Search bar to locate a specific kit.

The Med Kit Panel to the left displays a list of all Med Kits for the department.

 

3. Use Filter Tools

  1. Select the Filter option.

  2. Choose one or more filter criteria:

    • Medication Name

    • Lot Number

    • Serial Number

    • Expiration Date

  3. Select Apply to display matching kits.

The filter tools allows you to locate any kits with the selected filter after selecting Apply.

 

4. View Out of Service Kits (if applicable)

  • Enable the Out of Service toggle to display kits currently marked out of service.

    • This is permission based if able to view OOS Med Kits.

You can view all Out of Service kits by enabling the toggle.

 

5. Expand or Collapse Kit Groups

  • Kits may be organized into groups.

  • Use the expand/collapse arrow to show or hide kits within a group.

 

6. Use Kit Action Buttons

  • Action buttons allow you to:

    • Document:

      • an inventory count

      • usage

      • transfer

      • remove

      • receive

    • Perform a custody exchange

  • Available actions depend on user permissions.

 

7. Switch Between Views

  • Select either the List View or Grid View icon.

  • The active view is indicated by the icon highlighted in blue.

You can switch views by selecting either the List view or Grid view icon.

 

8. Review the Kit Banner

The banner across the top of the screen displays:

  • Kit Name

  • Most recent inventory count date

  • Last user to perform an inventory count

  • Location

  • Current seal information (if applicable)

  • Current custody holder (if applicable)

Permission-based banner actions include:

  • Update Record – Opens the Edit Med Kit page

  • In Service Toggle – Prompts a modal to enter a reason and comments

  • Custody Exchange Icon – Allows custody transfer based on permissions

The banner across the top displays the Kit Name, the most recent inventory count date, the last user to perform an inventory count, and current seal information if applicable, along with who has Custody if applicable.

 

9. View Kit Contents

  • The main content area displays:

    • Medication types

    • Quantities

    • Expiration dates

  • Medications are organized within pouches.

  • Select a medication name to view detailed information.

This area displays the medication types, amounts, and expiration dates inside pouches within the selected kit. Click on a medication name to see detailed information.

 

10. Manage Pouches

  • Use the pouch icons to:

    • Sort pouches

    • Expand or collapse individual pouches

You can sort,  expand or collapse pouches using the icons.

 

11. Expand or Collapse All Pouches

  • Select the expand/collapse all icon in the upper-left corner of the pouch section to quickly show or hide all pouch contents.

You can also expand or collapse all pouches with the icon located in the upper left corner of the pouches.


Best Practices

  • Perform inventory counts on a regular schedule

  • Review expiration dates frequently to prevent compliance issues

  • Use filters to quickly locate kits with specific medications or concerns

  • Confirm custody exchanges during shift or unit changes

  • Keep kits grouped logically by apparatus, station, or assignment


Troubleshooting & FAQs

I don’t see certain action buttons—why?
Action availability is permission-based. Contact your system administrator if access is needed.

Why isn’t custody information displayed?
Custody details appear only if custody tracking is enabled for the kit.

Why are some kits missing from the list?
Check active filters or whether the Out of Service toggle is enabled.
