Exporting Authorized Reports from the Fire Incident List

This article explains how to filter for Authorized Fire Incident Reports and export them from the Fire Incident List. This process supports efficient record sharing, backup, or transfer needs.
Background Information
Only Authorized reports can be exported from the Fire Incident List. Users must first apply filters to locate the appropriate reports, then use the export tools built into the platform.
Important: Only reports with a Status of Authorized are eligible for export.

Step-by-Step Guide
1. Navigate to the Fire Incident List
Go to the Incident Documentation module.
Select the Fire Incident List.
2. Open the Advanced Search Menu
Click the Edit button to open Advanced Search options.
3. Locate the Status Field
Depending on screen size, you may need to select the Expand tab to reveal all search options.
Locate the Status field.
4. Filter by Status
In the Status dropdown, select Authorized.
5.Apply the Filter
Click the Apply button to display only Authorized incidents in the list.
6. Select a Single Incident for Export
Click the open box to the left of the incident you wish to export.
7. Select Multiple Incidents
To export multiple incidents, use the open box at the top of the selection column to select all visible Authorized reports.
8. Export the Selected Incidents
With one or more reports selected, click the Export button.
9. Complete the Export Process
In the Export modal, click Send to begin the export process.
Best Practices
Always verify that incidents are in Authorized status before attempting export.
Use date or unit filters in combination with Status to narrow down your search.
For large exports, confirm that all relevant incidents are included by reviewing the selection box carefully.

Why can’t I export a specific incident?
