Exporting Authorized Reports from the Fire Incident List

  1. This article explains how to filter for Authorized Fire Incident Reports and export them from the Fire Incident List. This process supports efficient record sharing, backup, or transfer needs.

  1. Only Authorized reports can be exported from the Fire Incident List. Users must first apply filters to locate the appropriate reports, then use the export tools built into the platform.

Step-by-Step Guide

1. Navigate to the Fire Incident List
  • Go to the Incident Documentation module.
  • Select the Fire Incident List.

2. Open the Advanced Search Menu
  • Click the Edit button to open Advanced Search options.


Select the Edit button from the Advanced Search Menu.



3. Locate the Status Field
  • Depending on screen size, you may need to select the Expand tab to reveal all search options.
  • Locate the Status field.

4. Filter by Status
  • In the Status dropdown, select Authorized.


From the Status dropdown locate and select Authorized.



5. Apply the Filter
  • Click the Apply button to display only Authorized incidents in the list.


Click on Apply to then search for Authorized incidents.



6.  Select a Single Incident for Export
  • Click the open box to the left of the incident you wish to export.


You can export a single Incident by selecting the open box to the left of the Incident.



7. Select Multiple Incidents
  • To export multiple incidents, use the open box at the top of the selection column to select all visible Authorized reports.

8.  Export the Selected Incidents
  • With one or more reports selected, click the Export button.


Once authorized incidents have been selected click on Export.



9.  Complete the Export Process
  • In the Export modal, click Send to begin the export process.


From the Export modal select Send.


Best Practices

  1. Always verify that incidents are in Authorized status before attempting export.
  2. Use date or unit filters in combination with Status to narrow down your search.
  3. For large exports, confirm that all relevant incidents are included by reviewing the selection box carefully.

Why can’t I export a specific incident?
  • Make sure the incident is marked as Authorized. Only Authorized incidents are eligible for export.
What file format is used for exports?
  • This depends on your agency’s system configuration. Check with your administrator if unsure.
Can I export incidents that are still In Progress or Under Review?
  • No, only incidents with a status of Authorized can be exported.
