This feature allows Fire/EMS personnel to update pre-plan data while conducting an inspection, ensuring that critical occupancy information remains current and accurate. This integration streamlines the inspection process by eliminating duplicate data entry and maintaining real-time pre-plan accuracy for emergency response planning.

The Inspection Record Pre-planning feature bridges the gap between routine inspections and emergency preparedness by allowing inspectors to update pre-plan information directly during their site visits. This ensures that pre-incident plans reflect the most current occupancy data, structural changes, and hazard information. The feature is particularly valuable for maintaining compliance with NFPA standards and ensuring first responders have access to the most up-to-date property information during emergency situations.


Required Permissions

  • Inspection module access permissions
  • Pre-planning module read/write permissions
  • Occupancy data modification rights
  • Map layer viewing permissions (if using mapping features)

Step-by-Step Guide




1. Click on Pre-planning.


 Click on Pre-planning



2. Left Menu Includes Units, Hazmat's, Attachments, Layers, and Annotations. See pre-planning KBA's for more information.






3. Right Menu includes Units, Hazmats, Annotations, Secondary Addresses, Map Layers, and Google POI's. See pre-planning KBA's for more information.






4. Click to enable google street map.

6. Click to select preferred map view.

7. Click on Pre-plan Reviewed.

8. After saving the Inspection Record, the Occupancy Data column in the Pre-plan Organizer will display information that the Occupancy Data was updated in a Fire Inspection.

Best Practices

  • Always review existing pre-plan data before making modifications
  • Take photos or add annotations when significant structural or occupancy changes are identified
  • Coordinate with the Fire Prevention division when major hazards are discovered
  • Ensure all hazmat information is current and properly documented
  • Use the street map view to verify accurate property location and access routes
  • Mark pre-plan as reviewed even if no changes are needed to maintain inspection audit trails

Troubleshooting & FAQs

Q: The pre-planning tab isn't visible during my inspection A: Verify you have proper permissions for both Inspection and Pre-planning modules. Contact your system administrator if access issues persist.

Q: Changes I made aren't showing in the Pre-plan Organizer A: Ensure you clicked "Pre-plan Reviewed" and successfully saved the inspection record. Changes may take a few moments to reflect in the organizer view.

Q: Google Street Map isn't loading A: Check your internet connection and browser settings. Some firewall configurations may block external mapping services.

Q: I can't modify hazmat information A: Hazmat modifications may require additional permissions. Refer to hazmat-specific Knowledge Base articles or contact your administrator.
