EMS Setup - Adding Custom Values for NEMSIS Questions

EMS Setup - Adding Custom Values for NEMSIS Questions

Purpose Statement

  1. This article demonstrates how to create custom values for NEMSIS questions within an EMS report, allowing agencies to add localized options to standard NEMSIS fields while maintaining compliance and proper data mapping.

Background Information

  1. Custom values for NEMSIS questions enable agencies to extend standard NEMSIS dropdown lists with agency-specific or state-specific options. This functionality maintains NEMSIS compliance by mapping custom values to appropriate NEMSIS codes while providing providers with relevant local choices during ePCR documentation.
  2. The system supports both DEMDataSet (state-specific demographics) and EMSDataSet (national NEMSIS standard) modifications, ensuring flexibility while preserving data integrity for reporting requirements.

Required Permissions

To complete this task, users need the following First Due permissions:

EMS Setup - Manage

  • Allow

EMS Setup - Manage Field Customization

  • Allow

These permissions ensure users can access the EMS Setup module, navigate to Custom Elements, and create or modify custom values for NEMSIS questions.

Best Practices

  • Coordinate with your state EMS office before adding custom demographic values to ensure compliance
  • Use clear, descriptive names for selectable values that providers will easily understand
  • Test custom values in a development environment before deploying to production
  • Document all custom values and their purposes for future reference
  • Review custom values periodically to ensure they remain relevant and necessary
  • Maintain consistency in naming conventions across similar custom values
  • Consider the impact on reporting and data analysis when adding custom options

  • Troubleshooting & FAQs

Why don't I see my custom value in the ePCR?
Ensure the custom value was properly saved and that the field is active in your ePCR configuration.

What's the difference between DEMDataSet and EMSDataSet?
DEMDataSet contains state-specific demographic fields, while EMSDataSet follows the national NEMSIS standard. Choose based on whether you're modifying state or national data elements.

Can I edit a custom value after it's been created?
Yes, you can modify the selectable value and reported code, but be cautious as changes may affect existing data and reports.

How do I ensure my custom values don't interfere with NEMSIS compliance?
Custom values are mapped to existing NEMSIS codes through the reported code field, maintaining compliance while allowing local customization.

What happens if I delete a custom value that's been used in reports?
Existing reports will retain the data, but the option will no longer be available for new entries. Consider deactivating rather than deleting if historical data exists.

Can I add custom values to any NEMSIS field?
Not all NEMSIS fields support custom values. The available fields are determined by NEMSIS standards and state requirements.
