Documenting the NFIRS report from within an ePCR

Purpose:

  1. To demonstrate how to enable and use the "NFIRS Short Form" from within an ePCR.
  2. The NFIRS Short Form can save time for any user who is responsible for completing both a full ePCR and the NFIRS report for the same incident.

Directions:

Enabling the NFIRS Short Form:



1) Navigate to EMS Setup -> General.

2) Enable the NFIRS EMS Short Form.

3) Choose Form Requirement standards:
    1. Mandatory: Requires the NFIRS Short Form to be completed in every ePCR.
    2. Optional: No requirement, however, if a provider completes the ePCR without completing the NFIRS Short Form, a popup reminder is displayed. See below:
                                                             

    1. Never: Like Optional, there is no requirement to complete the Short Form. No popup reminder is displayed. The form always remains available for providers if needed.

Completing the Form:

1. Attach the ePCR to a CAD incident data.
You must Download CAD information into the ePCR first to access the NFIRS Short Form.

2. Select the incident and unit for which to import data.

3. Once the ePCR is attached to an incident, the "NFIRS Short Form" section can be clicked.






4. The information header displays the corresponding Fire Incident Number and the Fire Report Status.

5. Fill out NFIRS Fields as appropriate.

6. Write the NFIRS narrative.
Any Narrative Template configured within NFIRS Setup will be available for use inside the Short Form.

7. Navigate to the Fire Incident List, Save the Fire Report as Draft, or Complete the Fire Report.


 Opens the full Fire Form within the Fire Incident List. Will simultaneously close and save the ePCR as a draft.

 Saves the NFIRS record as a draft.

 Runs NFIRS 5.0 Validation against the Fire Report. If all requirements are met, the NFIRS report is complete and will change to "Pending Authorization" or "Authorized" status depending on individual agency configuration. If requirements are not met, required fields will be displayed in red.


Navigate to the Fire Incident List, Save the Fire Report as Draft, or Complete the Fire Report.


Frequently Asked Questions:

Can an AIC document within the NFIRS Short form while another user completes the NFIRS report from the Fire Incident List?

As with any incident report, only one user can document inside the record at a time. To avoid concurrency problems, when a provider is working in the NFIRS short form within the ePCR tab, the record will be locked in the Fire Incident List and will be unlocked when the EMS provider leaves the tab. Likewise, the NFIRS short form tab will be unavailable if the record is currently open elsewhere in the Fire Incident List.

What Incident Types can be documented within the NFIRS Short Form?

Currently, only Incident Types of the 31- and 32- series can be completed from the Short Form. If the Incident Type falls outside of this scope, simply click on the "Open Incident" button for a direct link to the full NFIRS report for the currently opened incident, no filtering required! (Note, 611- Cancelled en Route will be coming to the Short Form soon!)

What if I require custom fields?

You can fill them out in the short form! Any custom questions and/or NFIRS fields that have been marked required through field management are visible at the bottom of the short form, underneath the Member Completing Report & Officer in Charge section. The exception to this rule are any fields tied to apparatus or personnel information, which must be accessed from the full Fire form.

What happens if edits are required in fields that are not visible in the Short Form?

The Short Form is designed to make NFIRS reporting for EMS runs faster and more efficient. In most cases, the entire record can be completed in the short form. This assumes that CAD apparatus times and personnel information are configured to automatically import into NFIRS reports for your agency. However, sometimes a provider may need to fix a required field outside of the short form. When a provider clicks on "complete" within the Short Form, validation for the entire report is run in accordance with NFIRS 5.0 rules. If changes need to be made, a popup will direct the provider to the full Fire Form (which can be accessed by clicking on "open incident").
