Pre-Plans: Where to Start/Edit a Pre-Plan

Purpose Statement

This guide demonstrates the multiple access points available throughout the First Due system for initiating pre-plan editing. Understanding these various entry points allows users to efficiently access and edit pre-plans from different modules and workflows, whether they are responding to incidents, conducting inspections, or performing routine pre-plan maintenance.

Background Information

Pre-plans are critical documents that provide essential information about properties, hazards, and tactical considerations for emergency response. FirstDue provides numerous access points for editing pre-plans to accommodate different user workflows and operational scenarios. Whether users are in the field using mobile devices, working from dispatch, or conducting administrative tasks from the web interface, multiple pathways ensure pre-plans can be updated when and where needed. This flexibility is essential for maintaining current and accurate pre-plan information across all platforms.

Required Permissions

These permissions are located in the General Section of Pre-Planning Permissions:
  1. Pre-Pans Read--Allows User to access Pre-Plan Maps and Pre-Plan list as well as view Pre-Plans in a read only state.

Best Practices

Do's

  • Familiarize yourself with multiple access points for efficient workflow
  • Use incident-based access when responding to active calls
  • Access assigned pre-plans regularly for maintenance and updates
  • Utilize map-based access when working geographically
  • Take advantage of mobile access points for field updates

Don'ts

  • Don't rely on only one access method - learn multiple pathways
  • Don't edit pre-plans without proper permissions and training
  • Don't overlook incident-specific access points during emergency response
  • Don't forget to save changes regardless of which access point you use
  • Don't assume all access points are available to all users - permissions may vary

Tips & Recommendations

  • Use mobile access points when conducting field inspections or responding to incidents
  • Leverage the responder map for geographically-based pre-plan management
  • Utilize the pre-plan list for comprehensive review and maintenance
  • Access through incident modules when pre-plan updates are prompted by actual responses
  • Consider using dashboard access for quick routine updates
  • Train on both mobile and web access points to ensure flexibility in different scenarios

Troubleshooting & FAQs

Q: Why can't I see the "Edit Pre-plan" option in some locations?
A: Edit access depends on your user permissions and whether you're assigned to specific pre-plans. Check with your administrator about pre-plan editing rights.

Q: Is there a difference between "Access Pre-plan" and "Edit Pre-plan"?
A: "Access Pre-plan" typically opens the pre-plan in view mode, while "Edit Pre-plan" opens it directly in editing mode. Both may lead to the same editing interface depending on your permissions.

Q: Can I edit pre-plans from mobile and web interfaces simultaneously?
A: Avoid editing the same pre-plan from multiple interfaces simultaneously to prevent data conflicts. Complete edits in one interface before switching.

Q: Why don't I see green house icons on my map?
A: Green house icons represent properties with pre-plans. If you don't see them, there may be no pre-plans in your viewing area, or your map filters may need adjustment.

Q: What's the difference between accessing pre-plans through incidents vs. the pre-plan module? A: Incident-based access is contextual to active responses, while pre-plan module access is for routine maintenance and comprehensive management.

Q: Can I create new pre-plans from these same access points?
A: Some access points allow creation of new pre-plans, while others are specifically for editing existing ones. Check the available options within each access point.
