Assets: Setup: Creating and Managing Fluid Types

This article provides step-by-step instructions for creating and configuring new Fluid Types in the Assets Module. Fluid Types are used to track fuel, oil, transmission fluid, and other consumables associated with apparatus maintenance. Proper setup ensures accurate logging of volume, cost, and usage metrics.

Fluid Types are configured in the Assets Module and are used when logging fluid entries for apparatus. Each Fluid Type includes required fields such as volume unit, odometer, engine hours, and cost. Administrators can define which fields are mandatory to ensure complete and accurate data entry.

Step-by-Step Guide


Step 1: Navigate to Setup in the Assets Module

  • From the main navigation panel, click on Assets.
  • Scroll down and select Setup.





Step 2: Select “Fluid Types”
  • Under the Setup menu, click on Fluid Types.





Step 3: Click “Add Fluid Type”
  • In the Fluid Types list view, click the Add Fluid Type button.





Step 4: Enter the Fluid Type Name
  • In the Fluid Type (required) field, type the name of the fluid (e.g., Diesel, DEF, Transmission Fluid).





Step 5: Select the Volume Unit
  • Choose a unit from the Volume Unit (required) dropdown.
    Options include: Gallon, Pint, Ounce, Liter, Milliliter, Quart, Bottle.





Step 6: Configure Required Fields
  • Under Required Fields, check the boxes for any fields that must be completed when logging a fluid entry.
    Available fields include:
  • Location
  • User
  • Engine Hours
  • Odometer
  • Cost
  • Fluid Info
  • Fluid Attachment





Step 7: Understand Required Field Behavior
  • Any field marked as Required must be filled in when logging a fluid entry.
  • If a required field is left blank, the system will prevent the entry from being saved





Step 8: Save the Fluid Type
  • Once all fields are configured, click Save to finalize the new Fluid Type.





Best Practices
  • Only mark fields as required if they are essential for reporting or compliance.
  • Review existing Fluid Types before creating new ones to avoid duplicates.
