Ad-Hoc Reporting: Report Schedule
Purpose
- This article will review the Ad-Hoc Report Schedule Information within the Reports module.
- The Report Scheduling section in the ad-hoc reporting module allows users to automate the generation and distribution of reports at regular intervals. With report scheduling, you can ensure that key stakeholders receive up-to-date reports without manually running them each time. This feature helps keep your department informed by delivering reports via email on a schedule that fits your operational needs.
Understanding Report Scheduling
- Report scheduling enables you to define when, how often, and where the report is delivered. You can choose to send the report via email directly to recipients, or securely transfer the report to an SFTP server. This is especially useful for monitoring ongoing operations, sharing data with external systems, or distributing regular updates to various teams.
- Navigate to the Report Scheduling Section: After setting up your report, move to the Report Scheduling section, where you can configure the schedule and recipient options.
- Choose the Send Type (Email or SFTP)
- Email: Select email as the delivery method if you want the report to be sent directly to recipients’ inboxes. You can send the report to specific email addresses.
- SFTP: If an SFTP endpoint configured, you can select SFTP as the delivery method.
- Select the Report Format: Choose the format in which the report should be delivered. Common formats include
- PDF: Ideal for static reports with fixed formatting, such as summaries or presentations.
- CSV: Perfect for simple data exports that need to be imported into other systems or processed by external tools.
- Set the Schedule Frequency: Choose how often the report should be generated and delivered. Options include
- Daily: Generate and send the report every day at a specified time.
- Weekly: Send the report on specific days of the week (e.g., every Monday).
- Monthly: Send the report on specific days of the month (e.g., the 1st or 15th).
- Custom: Set a custom frequency based on your specific needs (e.g., bi-weekly or quarterly).
Example Use Cases for Report Scheduling
- Daily Operations Reports: Schedule daily reports to be delivered via email to operational staff.
- Weekly Performance Reviews: Automate weekly performance reports to department heads, ensuring that key metrics are reviewed regularly.
- Monthly Compliance Reports: Set up monthly reports to be sent to compliance officers via email or transferred to an external SFTP server for archiving and further analysis.
